An Outside View of a Strong Asset Management System: ISO 55001 Preparedness for a Maritime Operator
An ISO 55001 preparedness review showed a maritime operator that its asset management practice was stronger than its paperwork, and gave it two clear priorities before audit.

Executive Summary
A maritime operator responsible for running and maintaining a vessel fleet asked SAS-AM for an independent review of its asset management system ahead of its annual ISO 55001:2014 audit.
The review found a capable operation with well run maintenance and risk practices. Its headline finding was a positive one: the documented system undersold the team's true capability. The team left with an external perspective on its system and two clear priorities to focus on before the audit.
The Challenge
An ISO 55001 audit tests two things at once. It looks at what an organisation actually does, and at how well its documented system describes it.
For this operator, the documented side had been through a lot of change. Over three years, the structure and templates for its asset planning documents had changed more than once, first under its parent group's guidance and then under a new template required by its government client.
The team wanted a rapid, independent check of where it stood against the standard, and a short list of what to prioritise before the auditors arrived.
The Approach
SAS-AM ran a rapid preparedness review against ISO 55001:2014, led by a Certified Asset Management Assessor.
Preparation. Before the day we reviewed the group's asset management system requirements, the operator's asset management policy, its current asset plan, previous external audit reports and the previous maturity assessment.
On site review. We worked with the asset management team and with stores, safety and quality, and maintenance personnel. Rather than relying on documents alone, we sampled live data to test how maintenance plans, maintenance strategies and materials management were applied in practice.
Structured by the standard. Findings were set out clause by clause, from context and leadership through planning, support, operation, performance evaluation and improvement. Each clause closed with a plain English insight for the team.
Key Differentiator: The review deliberately tested practice as well as paperwork. That is what allowed it to separate a strong operation from a documentation set that had not kept up.
The Outcomes
- Strengths confirmed with evidence. Data sampling showed clear and consistent application of technical maintenance plans and materials management. The alignment from the asset plan through maintenance planning to day to day work in the maintenance system was described in the report as solid and very well structured, and as a benchmark for the operator's wider group.
- Risk management at work. The team was using its risk processes to drive real improvement, including making the case for fleet renewal and finding practical ways to maintain its vessels.
- A clear performance focus. Contractual KPIs were clearly defined and monitored, and the team understood how its fleet was performing.
- Two priorities before audit. First, plan and resource a systematic update of the key documents that make up the asset management system. Second, bring the actions from earlier audits into that same plan.
- A reframed message. The most useful takeaway was that the documented system undersold the operator's true capability. Simplifying the documents would let them reflect the operation as it really runs.
What We Learned
- Test practice, not just paperwork. Sampling live maintenance data showed strengths that a desktop review would have missed.
- Changing templates create document debt. When the required structure changes several times in a few years, the documents need a planned refresh, not piecemeal edits.
- Lead with what works. Framing the review around demonstrated strengths made the improvement priorities easier to act on.
